The challenge
The client ran the project in spreadsheets: contracts in one file, installation in another, payroll in a third. The numbers drifted apart, managers spent hours reconciling them, and nobody could see the project as a whole. What was needed was a single place where the project's data lives and every role sees its own part of the work.
What the system does
- Sites and money. A register of sites with their contracts, amendments and completion certificates. Each site shows the contract value, what has been signed off and what remains. Contract status — complete, overdue, missing — is derived rather than typed.
- Installation. Every batch of fixtures is recorded as the installer hands it over and the foreman accepts it. A pace dashboard forecasts whether the deadline holds, given crew throughput and how many people are on rotation.
- Documents. Separate registers for estimates, certificates, scans and as-built documentation, plus a reconciliation that compares fixture counts across contracts, estimates and certificates and highlights the differences. Those errors used to surface only at handover.
- People and rotations. Crew lists, rotation schedules and flight schedules, with a page that checks the two calendars against each other and shows the mismatches — someone on site with no flight recorded, or the reverse. Planning errors get caught before tickets are bought.
- Payroll. Accruals from output, payments by month, and a calendar of what is due next.
- Training. Safety and equipment tests for installers, with a summary of who has passed what — including people currently on rotation who have never opened a test.
- Installer's own view. Each worker signs in from a phone and sees their assignments, pay, trips and tests.
Integrations
The system does not sit in a vacuum. Travel bookings are pulled in automatically and flights laid out by date. Bitrix24 smart-process statuses for as-built documentation appear directly in the site register. The warehouse system shows each installer the tools and materials signed out to them. New installers and their rotations reach the document registry without being entered twice.
The result
The whole team works in one place. A director opens the dashboard and understands the project in a minute: money, installation pace, people. Discrepancies between documents and between calendars are found by the system rather than by someone reading two spreadsheets side by side.
