The challenge

Happy Feet 4 All screens children for foot problems on location — at schools, shelters and community organisations — then guides each patient through pedorthic analysis, a pediatrician referral, a clinical appointment and a custom-footwear fitting, largely covered by insurance.

A patient's journey spans more than ten pipeline stages and five staff roles. Moving one child through it meant paper intake and consent re-typed by hand, staff emailing every link and reminder themselves, insurance cards transcribed manually, referral paperwork printed and scanned, documents needed in both English and Spanish, duplicate records piling up, and no-shows discovered too late.

The goal: let families register themselves in minutes, make every message send itself, go paperless, and give each staff role its own workspace — on a live system with real patients.

What we built

  • Self-service registration. Parents complete intake and consent themselves, in English or Spanish, and the record lands in the CRM without anyone re-typing it.
  • Insurance card scanning. A photograph of the card is read automatically rather than transcribed, which removes both the typing and the typos.
  • Fifteen or more automated touchpoints. Confirmations, reminders, referral paperwork and follow-ups send themselves at the right stage, in the family's language.
  • Eight bilingual document types generated as PDFs, so nothing needs printing and scanning to move a patient forward.
  • Role-based staff portals. Fitter, pedorthist and the rest each get the workspace their part of the journey needs, rather than one shared view of everything.
